A backup can run every night and still fail you: no restore tested, a sign-in shared with email, or steps in one person’s head. These 12 statements show which apply.

Rate your backups in six areas

Mark each statement from 1, strongly disagree, to 5, strongly agree.

About this tool
  • It runs in your browser. Nothing you choose is sent to us, saved or tracked.
  • Answer for how things are today, not how they should be.
  • If you cannot tell whether a statement is true, treat it as a disagree.
  • Each area averages its two statements. An area under 3.0 gets one next step.
CopiesEvery server, laptop and shared folder we rely on is backed up on a schedule.
CopiesA named person reads every failed backup job and gets it fixed the same day.
Off siteAt least one copy of our data is kept far from our office, in a different region.
Off siteOne copy is locked or offline, so nobody with our passwords can change or delete it.
TestingIn the last three months, we restored files from a backup and opened them to check.
TestingWe have restored a whole server or computer from backup and timed how long it took.
Cloud appsWe keep our own backup of Microsoft 365 or Google Workspace mail and files, separate from the recycle bin.
Cloud appsWhen someone leaves, we keep a copy of their mailbox and files before the account is removed.
AccessOnly named people can sign in to our backups, and each one uses two-factor sign-in.
AccessOur backup system has its own sign-in, separate from our everyday email and admin accounts.
DocumentationWe have agreed how much work each system can lose and how long each can be down.
DocumentationOur restore steps are written down and kept where we can reach them with the network down.

How the score works

Each statement scores from 1 (strongly disagree) to 5 (strongly agree). Each area averages its two statements, so it lands between 1.0 and 5.0.

An area that averages under 3.0 gets its next step: one concrete thing to do this month. Start with your lowest area. An area at 4.0 or above is in place; check it again next quarter.
